Identify the accommodation provider and guest, then use descriptions that connect the charges to the stay. For a room charge, record the room type and dates, and use the quantity field for the number of chargeable nights where appropriate. List food purchases separately so a guest can reconcile them against the services received.
The service-charge row begins at zero. It is not a mandatory surcharge and should be removed when it does not apply. Enter any charge only on the basis applicable to the transaction and your agreement with the guest. No hotel, food or accommodation tax rate is assumed by the tool.
Review payments and keep authentic records
Use notes to explain an advance payment, a booking reference or a checkout reconciliation. The editor is not a booking system and does not verify occupancy, identity or payments. Do not describe a guest as having paid unless that matches your own records. If an invoice and a payment acknowledgement are both needed, prepare each with the appropriate information.
This generator is intended for genuine transactions. It does not establish that a stay occurred, verify a hotel’s registration or guarantee reimbursement by an employer. Check names, dates, line items and tax details before sharing the PDF, and retain the supporting booking and payment records separately.
