What a GST bill records
A GST bill brings the commercial details of a taxable sale into one readable document. It identifies the supplier, the customer, the goods or services supplied, and the amounts charged. For a customer, the document explains the purchase. For the seller, it is a reference when answering payment questions, reconciling orders, and maintaining transaction records. A polished layout helps readability, but it cannot replace accurate information about the underlying sale.
Begin with your own business identity rather than leaving example text in place. Use a document number from your records and check the transaction date. Add an item description that another person could understand without seeing the original conversation. A line called “work” is harder to reconcile than a specific service name and the period it covers.
GST bill versus invoice
In everyday shop conversations, people often use bill and invoice for the same request for payment. The document’s legal role depends on the transaction and the supplier’s status, not the label chosen for the heading. A tax invoice, a bill of supply, a quotation, and a payment receipt serve different purposes. This page defaults to Tax Invoice; it does not decide which document your business must issue.
A quotation sets out proposed prices before the sale is confirmed. A receipt acknowledges money received. Neither should silently stand in for the tax invoice that a particular transaction requires. Keep the original invoice number when you record a later payment, and use the separate receipt tool if you need a payment acknowledgement.
Fields to review before issuing
Check the supplier’s name, address and GSTIN; the invoice number and date; recipient details where required; item descriptions; applicable HSN or SAC information; quantities; taxable values; tax rates and amounts; and the final total. Place of supply, reverse-charge information and other particulars can also apply. Rule 46 and the rules relevant to your supply determine the full requirements; a template is a review aid, not a compliance certificate.
The editor provides business and customer fields, item descriptions, quantities, prices, tax percentages, notes and terms. Where a required detail has no dedicated field, include it clearly in a suitable description or notes field and examine the PDF. If the layout cannot express a requirement adequately, use a more suitable invoicing system before issuing the document.
Understanding CGST, SGST and IGST
For an intra-state taxable supply, the tax generally splits into CGST and SGST, or UTGST where applicable. For an inter-state taxable supply, IGST generally applies. The place-of-supply rules matter; a delivery address alone is not a substitute for checking them. Use the linked GST calculator to review a proposed breakdown against the facts of the transaction.
The shared bill editor calculates item-level tax from the percentages you enter. It uses the seller state and place of supply you enter to show CGST and SGST or IGST in line items and totals. You must still choose the appropriate place of supply and tax rate and verify the breakdown before sharing. FreeBiller creates standard GST invoice PDFs; it does not register invoices with an Invoice Registration Portal or generate an IRN or government e-invoice QR.
A practical final check
Read the document once as the seller and once as the customer. Confirm names, dates, quantities, discounts, taxes and the amount payable. Download a copy into your own filing system. Browser drafts help you continue work on this device, but clearing browser storage can remove them. Keep records separately from the tool and use qualified help for transaction-specific tax questions.
Frequently asked questions
Is this GST bill generator free?
Yes. You can prepare, preview, print and download a standard tax invoice PDF without signup. Enter and verify your own business and transaction details.
Does the tool validate my GSTIN?
No. The GSTIN fields record what you enter. Check registration details through the appropriate GST services before issuing a document.
Will CGST and SGST be split automatically?
Yes. Select both states in the editor. Matching states show CGST and SGST at half the entered rate each; different states show IGST. Check that the selections match your transaction.
Can an unregistered seller use Tax Invoice as the heading?
Do not use a heading to imply GST registration or collect GST when you are not entitled to do so. Choose a document and tax treatment appropriate to your business.
Does this PDF have an IRN or government e-invoice QR?
No. FreeBiller produces a standard invoice PDF and does not generate IRN or the government e-invoice QR. Use an applicable IRP workflow when required.
